hpCommerce Orion Release Notes

Build 6.0.06.0

Released September 27, 2019

New Features and Functionality

  • Discontinued Products update from Motor State Distributing
Now it is even easier to keep your products up to date because Orion will automatically process a file of discontinued items on a daily basis.  Motor State provides this file as a valuable part of their amazing Price Guide Pro subscription data service.  Orion integrates to this service and you can control how this new discontinued file is processed.  You can control these settings on [S-5-2] Motor State Part Import Configuration.  If you elect to process this file then as part of processing you can have Orion delete discontinued items that have ZERO inventory.  You can also have discontinued items automatically removed from your Yellow Hat Web website.  As a final feature the "Item Reference" field on the Part Maintenance form [L-L] will be updated to "DISCONTINUED".

  • Discontinued Products Import
Now you can use Orion's powerful importing tools to process an Excel file of discontinued products.  Now you can blast through a long list of discontinued products and even supply custom messages for the Item Reference and Sell-Up fields.  This flexible import is located at [M-N-G] Discontinued Part Import.  You can have Orion delete discontinued items that have ZERO inventory.  You can also have discontinued items automatically removed from your Yellow Hat Web website.  By using custom Item Reference and Sell-Up messages you can direct users to replacement parts or other information.

  • Ability to print range of Invoices or Analysis for a Customer
You asked for it and now we have it!  Whenever you get those customer requests to print all of the customer's invoices for a given tax year you can now do it with ease.  Simply select [F12] Range of Invoices from Customer Management [G] and you can get a history of invoices or the analysis report for a range.  You can even email this printout direct from Orion.  The Invoice Analysis is a great way of reviewing a customer's activity for a period and quickly understand your profitability for sales to the customer.

  • Customer on Credit Hold Warning and Sales Order block
Now you can set up a Sales Order warning when a customer is marked as on Credit Hold on Customer Management.  If a customer is on credit hold and you have the Credit Hold Warning turned on then you will be warned every time you work with a Sales Order for that customer.  You can turn this feature on via [S-F7] Invoice / Sales Order Preference by setting the option Allow Orders to be Created for On Hold Accounts to YES.  You can then set an override level (if you have security turned on) by using [S-F6-F3] Security by setting the Order Creation for On Hold Accounts Override Level.  Using this new feature you can even block the ability for users to be able to create a Sales Order for a Credit Hold customer.

  • Ability to Duplicate an Invoice or a Sales Order
WOW!  This is an amazing feature and a HUGE time saver.  Now you can select any invoice or any open sales order and duplicate it to a new sales order or quote for the current customer or a different customer.  You can retain the existing pricing or have pricing updated to the current pricing profile of the selected customer.  You can include or exclude any attachments too.  You can duplicate a sales order from any of the open order listing forms, such as [M-G-F6] Open Orders.  You can duplicate an invoice from [M-G-F11] Advanced Invoice Search.

  • Import PLC Marketing Data
What a HUGE time saver!  You can now import PLC marking data by using a spreadsheet.  This is a fantastic tool if you have a Yellow Hat Website and you want to load special marking data for product line codes.  An example would be doing a mass load of manufacture logos for the PLC's.  This data would then get pushed to your Yellow Hat website and appear on a shop by brand page.  What a great marketing tool.  To get a template for the import format use the PLC export tool located at [M-N-6] Export PLC's.  Then you can use the template to build an import file.  You can import just about every piece of information for a PLC.  Use [M-N-F] PLC Import to process the file.

  • Control who can Close a Purchase Order
If you have security turned on in Orion you can now control who has the ability to close a PO.  Normally at the end of the purchase order receiving process you are asked if you want to close the PO.  Now you can control if a user has this ability.  This is handled by the "Can Close PO" option on user security set up located at [S-F4-F11].  This is a great feature for if you have a situation where you want someone to audit the receivings before they are closed.  You can have your receiving team process the receipts and get the items into stock and then have another party audit the receivings against a vendor's invoice to make sure that the cost and quantities are correct.

Improvements to existing Features

  • Logo on Payment Receipts
If you specify a company logo using [S-3] and you have logo printing turned on via [S-F7] your logo will now appear on Payment Receipts.

  • Logo on Statement of Account
If you specify a company logo using [S-3] and you have logo printing turned on via [S-F7] your logo will not appear on Statements of Account.

  • Suppress Void Activity on Statements of Account
You can now suppress the printing of invoice and payment voiding activity on customer Statements of Account.  You can control this feature by using the "Include Voids on Statements" option on [S-F6].  If you are prone to having a lot of voiding activity on customer accounts then this feature will help you print statements without showing invoice and payment voids.

  • Print Invoice Analysis for a range
You can now print the Invoice Analysis report for a range of invoices.  This is a new option on [M-G-F12] Print a Range of Invoices.  This allows you to analyze the profitability of the invoice activity for a period.

  • MAP and List Price maintenance on BOM and Kit forms
You can now maintain the MAP and List Price fields for BOM's and Kits directly from their respect maintenance forms.  This adds to the convenience of these forms and prevents you from having to perform this maintenance on the main Part Maintenance form.

  • You Saved message can be Turned Off
You can now turned off the "You Saved" message that appears on the List Price format of the Invoice, Sales Order and Quote.  This is controlled by setting the You Saved printing option located on [S-F7-F4] Invoice and Sales Order Printing Options.

  • Suppress Sales Tax District printing on Sales Tax Detail Report
You can now set specific states to only print ONE PAGE per a given state for the Sales Tax Detail Report [M-L-F4-F6].  You control this suppression by adding a state override to the Sales Tax Maintenance and TaxJar State Sales Tax Config section of [S-F3-F9] and setting it to "Only Report State Totals" to YES.  This new feature can have the benefit of dramatically reducing the size of the Sales Tax Detail report for states where you only need a grand total of sales tax collected for the state.

  • New Sales Order Print Options
AMAZING!  You can now print a bundle of documents from the Sales Order Items form.  Using [F3] Print from an open sales order you now have the option to print any combination of a Sales Order, Pick Sheet and Packing Slip.  Try it out, you will be delighted with this amazing flexibility.

  • Reopen a Close Purchase Order
Now you can easily fix an OOOPS!  If you make a mistake receiving a PO you can now re-open the PO from the [M-S-S] Closed PO Search / History form by using [F11] Reopen PO.  This returns the PO to the Receive Purchase Order form [M-S-C].  At this point you can reverse a receiving, receive more and make any alterations as needed by making corrective receiving entries.

  • Force Pricing Reset on Quantity Change on Sales Order
You can change how pricing is set on a sales order when the Quantity Sold is modified.  By default once you set the price for an item on a sales order it will "stick".  This works great unless you have a Quantity Price Break set for an item.  Now you can set Orion to reevaluate the pricing of an item every time the Quantity Sold changes.  This will keep shoppers from getting a price break if they decide to reduce the purchase quantity.  You can set this option on [S-F7] by setting the option for "Update Default Order Item Price on Quantity Change".

  • Changes to Invoice, Sales Order and Quote Analysis report
This great report has been modified based upon user feedback.  This analysis can be printed from most places where an invoice, sales order or quote can be printed.  The report has been modified to give a "unit" value for the Average Cost of Goods Sold.

  • Location is now Synchronized via the Multi-Company Synch feature
The three location fields are now updated along with other data via this synch feature.  This feature is available via [S-5-F10 and F11].

Fixes

  • The "file picker" option for selecting a spreadsheet to open via the data utilities on [M-N] has been updated to support all current formats of Microsoft Excel documents.
