Notes for Release 5.0.00.0

hpCommerce Orion Release Notes

Build 5.0.00.0

Released February 15, 2018

New Features and Functionality

  • Vendor Purchase History Summary report - a new report showing purchased from a vendor or vendors for a period of time that you specify.  This report has been added to [M-L-P-F1].  You can run this report for any time period and you can specify to run it for just one vendor or all vendors.  This is a great report to give you an idea of your total purchases for a period of time.
  • PDF Forms and Attachment system!!!  Wow, this system gives you amazing capabilities.  Where to start?  First of all check out our video series on this system HERE.  This system allows you to add PDF documents to a Forms Library.  These forms can then be used over and over again as attachments to a customer, Sales Order or Purchase Order.  Then there are tools in Customer Management, Sales Orders and Purchase Orders to attach forms to these documents or customers.  Attachments can be of any type, literally, any file you have on your computer can be attached.  PDF files, sound files, drawings, CAD files, pictures, anything.  Here are some examples of how you could use these features:
    • Add PDF fill in forms to the library and use these to attach to:
      • Credit apps to a customer file.
      • Piston, crank or engine specifications to sales orders.
      • CAD drawings to a PO to send to a vendor.
    • Take pictures of a customer's car to document repairs that need to be made and send these to the customer.
    • Document an engine build and store all engine data and specs along with the sales order for future reference.
  • Export HP Price File - you can now export a file in the HP Import format.  This file is exported to a user specified location and is in CSV format.  You can specify select criteria for the exported file.  You can review the search content first before exporting.  This new feature is found at [M-N-3].  This is a great tool for exporting out a file of product data so that the data can be updated in Excel and then imported into Orion via [M-N-H] to update product data.
  • Export Rich Data File - you can now export a file in the Rich Data Import format.  This file is exported to a user specified location and is in CSV format.  You can specify criteria for the export file and review the search results before exporting.  This new feature is found at [M-N-4].  Rich Data is essentially eCommerce data such as product categorizations, long descriptions and dimensional data.  Exporting this data allows you to use Excel to supplement the data and then import it back into Orion using [M-N-I].
  • Bulk Item Delete Tool - You can now bulk delete items using a new feature of Orion.  Using [M-N-A] you can process a list of parts to delete from Orion.  The file to be processed must be a CSV formatted file containing just two columns:  PLC and Partnumber.  Orion will process this file and will delete items if it can.  Exceptions are if an item is on an open order of any kind or on open quotes or has non-ZERO on-hand.
  • Attach Multiple Attachments to an Email.  Wow!  It is now possible to add multiple attachments to an email message that is sent from Orion.  You can also manage these attachments before they are sent via email.  If a Sales Order or Purchase Order has attachments (via the new PDF Forms and Attachment System) all of these attachments will be automatically added to the email too.  In this case you are asked if you want to add these attachments at the time the email is built.  If there are multiple PDF's attached to an email these will be bundled into one PDF and sent with the email.

Improvements to existing Features

  • BOM Components can now be depleted via Purchase Order Receiving.  The ability to deplete BOM components when receiving BOMs on a Purchase Order can now be configured and performed as needed.  An option has been added to [S-F5] that asks "Default BOM Receiving Option".  The options are Ask, Yes and No.  This adds great flexibility to the Purchasing System so that it can be used as a tool for generating a "Manufacturing Order".  You can create a PO for internal consumption to build BOM's.  As the items are built they can be received and the component inventory can be maintained at the same time.
  • XCharge Payment Integration updated.  This integration has been updated.  Here are some notes:
    • A YES / NO option on S - 4 has been added to indicate whether or not to initially prompt for address and CVV on the Add CC dialog. This defaults to YES.
    • If the new option is set to YES, when adding a CC, the CC dialog is first shown with address and CVV fields. Prepopulating the address fields with the customer's address.

    • If adding the CC succeeds, then the customer's address is stored with the CC in Orion.

If adding the CC fails, give the user the option to add the CC without the address and CVV fields.

If the new option is set to NO, do not prompt for address or CVV fields on the dialog.

  • Motor State Daily Item Update Enhanced.  Motor State is now providing new valuable data with their daily update file.  Orion has been enhanced to consume this new data.  Here are some notes:

    • AAIA Brand Codes are now written to the AAIA Brand Code field on the Product Line Code Master form

Motor State Product Notes are now written into the Sell Up field on the Part Maintenance form and the length of this field has been increased to 1024 characters.

The Sell Up field has been added to the Purchase Order Items form so that this valuable data can be referenced there too.

Air Restricted, State Restrictions, Truck Freight Only and Ships in Own Box are all written to the Shipping Options form on the Part Maintenance form.

  • Reset Yellow Hat Web flags on Service Restart.  When the hpCommerce Orion Windows Service is restarted the processing flags for all of the Yellow Hat Web update processes are reset.  This allows Orion to quickly and gracefully recover from an unplanned restart of the computer.
